Board Meeting Minutes
March 12, 2026
Call to Order- Present: Steve Budde, Tim Newman, Jim Miller, Debbie Miller, Terry Robbins, Robin Robbins, Juan Lopez, Ken Freeman
Approval of Minutes- February 2026 minutes were approved unanimously
Spokes- Colin was absent but reported 49% opens for the last Spokes and appreciates articles from members when they can.
Treasurer’s Report- Tim Newman reports that we currently have total assets of $31,570.68 with $16,154.88 in the Operating Account and $15,415.80 in our CD. The CD is due March 20 and makes about $45 per month. Tim recommended holding off on renewing and cashing it out, then looking at it again after the Monster Cookie. The Board agreed.
The 2026 Proposed Budget -was prepared by Tim and reviewed by the Board with unanimous approval and is included at the end of these minutes. Terry Robbins had a question on the high processing fees and Tim explained that it is because service fees are high due to multiple transactions with registering for the Monster Cookie at this time.
Donations request form- from Northwest Hub for $2000.00 to be applied to bicycle vouchers for students in Safe Routes to School Bicycle Education Program was approved unanimously by the Board. Debbie will inform Jacob.
Monster Cookie Update-Tim Newman reports we are way ahead on registrations and we are getting 2-3 more registrations per day on average. The T-shirts and jerseys are also doing well. Debbie gave an update from Karen Freeman on the food. Karen met with culinary leader, West Shelton from McNary today. She bought 3 5-gallon Cambro’s for the rest stops and McNary has two for use at McNary and also two 2.5-gallon ones for hot water at McNary. Food will be ready at 7 AM. We need to supply coolers and ice/cold packs with estimate for 50 wraps per cooler. The wraps for the gluten free options are made with gluten free ingredients but not in a gluten free facility so participant s need to know this and we may have to purchase a few guaranteed gluten free options separately. There were 5 gluten free requests last year. The culinary team will need revised food estimates no later than 3/30-4/4. Dave’s killer bread donated 500 bagels and 2000 snack bars after Tim’s request! Steve will pick those up in Clackamas.
Safe Routes to School Update- Debbie Miller reports that Learn to Ride is finished for this school year. Overall, they taught 150 students to ride a bike for the first time with the help of three consistent SBC members, Karen Freeman, Dan Shryock, and Dennis Fraser. March is the start of Bicycle Safety Education with the last 4 schools.
The new bike trailer 1 Interstate Victory trailer has been built out and named Heron. They have 35 Trek Bikes, and 300 helmets and are on track to purchase the second trailer and 50 bikes by Summer 2026. Funding is going well and they are about $7000 away from having the second trailer and bikes funded and are submitting a grant proposal to Marion County for the remaining balance.
Rides Committee-Terry Robbins reports rides are scheduled through the end of May. Next meeting is 4/1 and they will vote on the eight 2026 event rides for Club Mileage credit then. The training rides in June in Sisters will be on the calendar.
Terry is working on the Ride Coordinator Guide and will address unprepared riders at the start.
They will continue gravel ride scheduling and Jacob will lead some.
Member Forum- Terry Robbins reports no updates
Membership- Robin Robbins reports membership increased from 272 to 289, likely as a result of the Monster Cookie registrations.
Iron Man Update- Juan Lopez reports it’s early but is going well so far.
Ride Tracking- Juan Lopez reports that overall, it is going well so far.
Next Meeting- Saturday April 11th General Meeting and Pizza Party 406 PM at Painter’s Hall
