Board Meeting Minutes
February 11, 2026
Call to Order- Present: Juan Lopez, Tim Newman, Debbie Miller, Jim Miller, Terry Robbins, Robin Robbins, Colin Benson
Approval of Minutes-January Minutes were approved unanimously
Treasurer’s Report: Tim Newman reports that the total assets are $23,892.91
Safe Routes to School- There have been the same 3 volunteers from SBC consistently and Jacob Lippert reports that things are going well. They are in their last week of Learn to Ride at Clear Lake and in fact third grade was added to K-2nd at the end as well. The inside of the trailer is finished and they are working on the decals and then want a big reveal and would like to do that at the Monster Cookie and are open to ideas. The board seemed supportive of this.
Rides Committee- Terry Robbins reports that they have clarified for insurance gravel vs mountain biking and if it’s single track then it is considered mountain biking.
Jacob came to the last meeting and is willing to lead at least 4 routes and perhaps some event rides.
11 event rides for club credit have been proposed including Reach the Beach, Pioneer Century, Lebanon Strawberry century, Pedal Petal, Harvest Century, Blackberry bramble, and Seattle to Portland as well as 3 gravel rides. Decisions should be made on which 8 will be approved in March or April.
Rides are scheduled through April and in May the Ride of Silence on May 20th is on the Calendar. The MC volunteer rides are on the calendar for Saturday April 18th.
Every other Sunday Independence start rides are planned starting in May.
Member Forums- Terry Robbins reports no new updates
Spokes- Colin Benson reports things are going well and there were lots of submissions for the last edition. He reports 47% opens which is good. He will be in England and may not be as responsive until he returns.
Membership - Robin Robbins reports we have increased from 268-272 active members.
Monster Cookie Update- Tim reports that there are 129 registrants so far which is ahead of last year. Debbie Miller reports that Karen Freeman has come up with an agreement with Wes Shelton from the Culinary program for McNary and Debbie Miller paid the deposit of 40% which was $1400. Karen plans to look into buying two coffee Cambro's of our own to keep the beverages warmer since McNary doesn’t have enough for our volume of coffee. Sue Roth has retired from Willamette Valley Pie Company but their support continues with the new manager. Debbie has put up 2 FB posts so far and plans to put up 2 more before the price increase and boost one of them for up to $100.
Merchandise-Tim reports we are getting close to our 50-jersey goal for the best price and may be able to supplement with club jerseys to bring prices down and add to our stock. The T-shirt numbers are in good shape so far with 72 pieces total. Final date for T-shirts ordering will be March 25th and the order is due to the shirt company by March 30th. The socks are already in. Final decisions will be made a MC planning meeting
Budget-Tim Newman has looked at budget discussion from results sent in and the best approach seems to be for Tim to put out a budget proposal for the board to review
Next Meeting-Wednesday March 11th 6:30 PM via Zoom
April General Meeting- Saturday April 11, 2026 4pm in person pizza party at Painter’s Hall.
