Board Meeting minutes
May 13, 2026
Call to order- present: Ken Freeman, Tim Newman, Debbie Miller, Jim Miller, Terry Robbins
Approval of Minutes - April 2026 minutes were approved unanimously
Membership Update- Terry Robbins reports that there are 343 active members and 178 expired members. Tim suggests reaching out especially to long term expired members
Treasurer- Tim Newman reports we have $42,693.95 in our operating account. It appears the Monster Cookie has netted around $20,000.00. Tim suggests we put $30,000.00 into 5-month CD’s and members suggested splitting them up in case money is needed urgently for a cause like Safe Routes to School. Tim will look into the details. June is when the board will decide on the dollar donation amount for the next budget. We are already committed to $2200.00 for bike vouchers and now the additional $300 for Bike Palooza.

Spokes Update - 1950 copies were sent out with 966 opened is about 50 % open rate
Safe Routes to School Update- SRTS is going very well and is becoming more sought after by schools. Limitation on staffing is a major obstacle to expansion. The second bike fleet should be obtained around July. SRTS did 3 bike busses this year and an Earth Day walk and roll event where 30 students walked and rode to school. SRTS sponsored the mini-Cookie ride with 20 participants riding for free this year and staffed the bike rodeo after with student volunteers and volunteers from local partnerships. Weddle elementary finished Bike Safety in April with 123 students participating and almost half learning to ride a bike for the first time. This summer there will be a pedestrian safety event at the Keizer Blast Camp and Bicycle Safety Education crash course during Keizer Safety week. 11 club members volunteered for SRTS at the SK elementary schools for the 2025-2026 school year at 8 schools.
Bike Month Bike Palooza - at Herritt Elementary is May 22nd and the organizers are asking for $300 from SBC for a bike raffle and some prizes from NW Hub. This was approved unanimously and Tim will get the money to NW Hub. They are also asking for the use of our bike racks and the board agreed and Debbie and Jim will get them to the organizers from the storage locker. We also donated many palates of water bottles to them leftover from the Iron Man event. Tim offered additional prizes including WVPC pie vouchers and club memberships and Debbie will check with the organizers about this.
Rides Committee Update- Terry Robbins reports that the Ride Coordinator Guide, Ride Cancellation Policy, and Mileage Guidelines have all been updated and sent to the board for approval. This was approved with one change and that was to pick one wind speed limitation.
Iron Man- sign up for volunteers for Bike Aid Station #2 is ongoing and sign up is on the Iron Man site only, not the club website
SAG driver reimbursement rate- Tim feels that with the very high gas prices right now we should go with a flat rate of $100 per driver this year. Debbie felt that we shouldn’t deviate from our standard reimbursement based on the IRS standard business rate and the majority of the board agreed.
Upcoming Events: - June 1 is The Bike Parking guidelines for the City of Salem meeting and Debbie Miller will represent the club at the meeting.
- June 11th is a meeting about the 55-year celebration of the 1971 Bike Bill sponsored by ODOT and Jim Miller will represent the club.
-May 20th is the Ride of Silence with assembly at 6 PM and ride at 7 PM with Tim Newman organizing and co-hosting with Salem Bike Vision
-June 10 is the next board meeting via Zoom
