Board Meeting Minutes

June 11, 2025

 

-Call to Order - Present: Colin Benson, Steve Budde, Robin Robbins, Terry Robbins, Ken Freeman, Julie Glass, Debbie Miller

-Approval of May Minutes- the May 2025 minutes were approved unanimously

-Treasurer’s Report- Robin Robbins reviewed our current financial status. The Event Account has been closed. $7423.05 in Operating Account, $10,726.54 in a CD that matures in September and $15,000.00 in a new 5-month CD with the total assets of $33,149.59

-Rides Committee Report-Terry Robbins reports that the Independence start rides have been changed to 10 AM start beginning in August. The Molalla ride was a success with 15 riders. The Pioneer Event ride had 7 people including 1 full century riders. Ride leaders are still needed for several upcoming scheduled rides. No meeting for the committee is expected in July. Terry will look at a training process for new ride leaders. Terry will add the San Juan Islands tour to the calendar.

-Forum Updates-Terry Robbins has set up 3 forums for members for San Juan islands tour, gravel rides, and road rides. There has been activity on the San Juan forum so far. Terry will create a brief article about the use of forums to pass on to Colin for inclusion in Spokes.

-Member Update- Julie Glass reports we are down from 262 members to 260 members as of today. 10 expired in 2025 and she will try and contact. There was discussion about having some type of membership drive and perhaps brainstorming about this at our next meeting. This might be an agenda item.

-Spokes Update- Colin Benson reports that he is getting to know the software better and currently sends out 1576 copies with 873 opens at 43%. He really appreciates any contributions to Spokes content that he receives. Debbie mentioned that long-time member Mary Schmidgall had expressed interest in writing some articles for Spokes as she has done in the past, and they will follow up on this.

-San Juan Islands Tour-Steve Budde reports that there is a lot of interest in the tour of the San Juans on 8/12-8/14. There may be up to 30 people going so far. Doug Parrow mapped out all possible available routes for ride credit. There will be check in at the Ferry in the morning for ride credit and Steve will make a notation at the end of each day on what route members did for ride credit. There is a talk of a potluck and possibly meals out and if anyone is interested in coordinating that would be helpful. Steve will send out another email about forum access for members only.

-Iron Man Update- Juan Lopez was unable to attend but reports that 22/40 spots are filled with only a little over a month to go. The board brainstormed on recruiting ideas for volunteers and decided on recommending to Juan and Tim a raffle with one ticket given to each member for each non-member recruited. The top prize would be a free SBC membership for 2026 with other prizes being Swan from our stockpile.  If Juan approves, then Julie Glass will coordinate the raffle details. Debbie will follow up with Tim and Juan before moving forward. Consideration of contact with Hub to see if they would help supply volunteers in exchange for possible donations should be brought forward.

-Donation allocation for 2025-2026-The new donation policy specifies that at the June board meeting, an amount for the upcoming donation year would be allocated. The board voted unanimously that up to $10,000 would be allocated from the CD that matures in September. Much discussion on the wording in the bylaws and the next available window with the Secretary of State needs to be addressed. The bylaws need to be amended at the November General Meeting and eligibility dates for applications will be discussed at a subsequent meeting.

-Since Jackie Lefevre has retired from her long-standing fiscal duties for Salem Bicycle Club, the board voted unanimously to remove her from our US Bank Operations Account.
